“Spanish Through Theatre” Workshop Policies

Thank you for registering your child in Spanish Through Theatre! Our goal is to provide a safe, welcoming, and engaging environment where children can build confidence, make new friends, and develop their Spanish language skills through drama and creative play.

Please read the following policies carefully.

Code of Conduct

To ensure a positive experience for everyone, all participants are expected to:

  • Show Respect: Treat fellow participants, facilitators, library staff, and volunteers with kindness, courtesy, and respect.
  • Follow Safety Guidelines: Listen carefully and follow all instructions provided by the facilitators to ensure everyone’s safety.
  • Participate Fully: Join activities with enthusiasm, do your best, and encourage others.
  • Be Kind: Bullying, discrimination, inappropriate language, or harassment of any kind will not be tolerated.
  • Attendance: To participate in the final performance, children must attend at least 9 of the 11 sessions.

Health & Safety

  • For your child’s safety, parents/guardians must:
  • Provide accurate information regarding allergies, medical conditions, medications, or any other health concerns.
  • Ensure emergency contact information is current.
  • Help their child become familiar with basic emergency procedures, including library evacuation procedures.

Attendance & Punctuality

  • Drop-off: 5:15 p.m.
  • Workshop: 5:30 p.m. – 7:00 p.m.
  • Pick-up: 7:00 p.m.

A $10 CAD late pick-up fee will apply if a child is picked up more than 10 minutes after the scheduled pick-up time.

If your child will be absent, please notify the facilitators as soon as possible.

Please note that missed classes cannot be refunded, credited, or rescheduled.

Communication

Important updates and announcements will be shared with parents via:

  • Email
  • Phone call
  • Text message (when appropriate)

Please ensure we have your current contact information.

Venue Policies

The workshop takes place at the “Shawnessy Public Library (tentative location)”.

All participants and families are expected to comply with the Calgary Public Library’s policies and regulations while using the facility.

Photography & Media Consent

As part of the workshop, children will participate in a public theatre performance.

Photos and videos may also be taken during classes and performances for promotional purposes, including social media, websites, and printed materials.

If you do not wish your child to appear in photographs or videos, please notify the facilitators in writing before the first class.

Behaviour Expectations

Our goal is to create a positive and inclusive environment for every child.

If significant behavioural concerns arise:

  • Parents/guardians will be informed promptly.
  • Facilitators will work together with families to resolve concerns.
  • If behaviour repeatedly compromises the safety or learning experience of others, the participant may be withdrawn from the program without a refund.

Cancellation & Refund Policy

  • Participant Cancellation: Registration fees are non-refundable once registration has been completed.

Workshop Cancellation

If the workshop must be cancelled due to circumstances beyond our control (including but not limited to severe weather, facility closure, or insufficient enrollment), families will be notified as soon as possible.

A minimum of 5 registered participants is required for the workshop to run.

If fewer than five children are registered by September 10, 2026, the workshop will be cancelled and all payments received will be fully refunded.

When possible, alternative arrangements may be offered.

Exceptional Circumstances

Requests for exceptions to the cancellation policy may be considered on a case-by-case basis at the workshop facilitators’ discretion.
