“Chikis Art” Summer Camp Policies

1. Code of Conduct:

  • Respect for others: Treat fellow campers and facilitators with kindness and respect.
  • Safety first: Follow all safety rules and instructions provided by facilitators.
  • Participation: Engage actively in camp activities and follow instructions from facilitators.
  • No bullying: Bullying or harassment of any kind will not be tolerated.
  • No drugs or alcohol: The use of drugs or alcohol is strictly prohibited.
  • Attendance: Attend all scheduled camp activities unless otherwise excused.

2. Health and Safety:

  • Medical information: Provide accurate medical information about your child’s allergies, medical conditions, and medications.
  • Medication policy: Medications must be labelled with the child’s name and dosage instructions. They should be given to camp staff for safekeeping and administration.
  • Emergency procedures: Familiarize your child with emergency procedures, including evacuation plans.

3. Attendance and Punctuality:

  • Drop-off time is 9:45 am, and the pickup time is 2:00 pm. There will be 15 minutes tolerance. There is no aftercare time available.
  • Absences: Please notify the facilitators if your child will be absent from a session. There will be no refund for missed sessions.

4. Communication:

  • Parent communication: Facilitators will communicate important information and updates through email, phone calls, or written notices.

5. Camp Property:

  • Respect for property: Campers are responsible for caring for the facilities and equipment.
  • Damage: The summer camp has paid for liability insurance; however, campers/parents or guardians will assume any damage to the facilities caused by negligence or misconduct.

6. Photography and Media:

  • Consent: By enrolling your child in the camp, you consent to the use of your child’s likeness in camp-related promotional materials, including photographs and videos.

7. Refund and Cancellation Policy:

  • Refunds: Refunds will be provided according to the camp’s refund policy, which may include cancellation deadlines and any applicable fees.

8. Behavioral Discipline:

  • Consequences: Campers who violate camp policies may face disciplinary actions, which could include warnings, temporary suspension from activities, or expulsion from the camp.
  • Parental involvement: Parents will be notified of any significant behavioural issues involving their child and may be asked to participate in resolving the situation.

Cancellation Policy

1. Cancellation by the Participant:

  • If you need to cancel your child’s summer camp registration, please notify us as soon as possible in writing or via email.
  • Refunds will be provided according to the following schedule:
      • Cancellations before JUNE 21st will get a full refund.
      • Cancellations after JUNE 21st and before July 5th will get a full refund with a $50 administrative fee.
      • No refund will be given prior to 7 days from the starting date.
      • If your child becomes ill and must quarantine/self-isolate, a full refund (less a prorated day rate for days attended) will be issued, less a $50 administration fee.

2. Cancellation by the Camp Organizer:

  • If we need to cancel a camp session due to circumstances beyond our control (e.g., natural disasters, insufficient enrollment), registered participants will be notified as soon as possible.
  • The Summer Camp will proceed with at least 5 kids signing up. If we don’t have that number of kids by June 24, 2024, the camp will be cancelled, and all the payments made by that time will be fully refunded.
  • In such cases, a full refund of the camp fees will be provided, or alternative arrangements may be offered if feasible.

3. Transfer of Registration:

  • Camp registrations may be transferred to another eligible participant upon request, subject to approval by camp management and availability in the desired session.
  • Transfers may be subject to administrative fees or adjustments in camp fees depending on the circumstances.

4. Refund Process:

  • Refunds will be processed using the original method of payment unless otherwise requested.
  • Please allow three business days for the refund to be processed and credited to your account.

5. Exceptions:

  • Requests for exceptions to the cancellation policy may be considered on a case-by-case basis at the discretion of camp facilitators.

By registering your child for the summer camp, you acknowledge that you have read and agree to abide by the cancellation policy outlined above.
